Procurement

  • Handle full set of purchasing process (Sourcing, RFQ, negotiation, shipping & follow up on deliveries
  • Responsible for documenting purchasing activities, including maintaining the purchasing database and ensuring the accurate matching and submission of Purchase Orders (PO), Delivery Notes (DN), and Invoices to the Finance department.
  • Negotiates quantities, prices, delivery times, terms and conditions, and contractual terms for effective procurement processes.
  • Identifies and capitalizes on opportunities for cost savings.
  • Gathers entries in the ERP system and manages the creation, maintenance, and updating of master data for suppliers, services, and materials.

Admin Support:

  • Performs receptionist duties for both external and internal visitors, including greeting, welcoming, and directing them appropriately. Additionally, addresses inquiries and provides efficient assistance.
  • Maintains order and tidiness in the reception area, ensuring adherence to established procedures, rules, and regulations.
  • Act as first point of contact for office management.
  • Arrange for local courier services, collecting and distributing incoming and outgoing mails 
  • Support procurement and inventory management of office and pantry supplies
  • Manage local vendors for office supplies to ensure office facilities are well maintained and vendor invoices are settled within due date. 
  • Assist logistic arrangements for meetings, trainings/events, logistics, catering, invitations etc.
  • Support staff welfare matters and activities.
  • Support the planning, organization of company events ie. festive events, sports events, dinner and dance etc
  • Assist in administration of onboarding a new hire – name cards, stationary, induction program.
  • Prepare meeting and conference rooms for visitors and ensure tidiness and maintenance of the rooms.
  • Assist with other projects and perform other duties as assigned.

Requirement:

  • Diploma in Business Administration or equivalent
  • 1-2 years of relevant work experience in an admin and/or purchasing role 
  • Meticulous, attention to detail, responsible and customer oriented
  • Knowledge in SAP MM Modules will be an advantage
  • Competent in MS Office
